0. About Administrator
- "Matlantis administrator" is the contact person in your tenant.
- PFCC does not manage each user in the customer's tenant. Only the administrator will be notified in case of an emergency.
- Once the tenant is established, the Matlantis system will send an invitation email to the
administrator. - The administrator must authenticate & log in, then register other users.
# Note that the Matlantis administrator has admin rights from the beginning. - In case of system trouble or other emergencies, we may contact the administrator.
This page focuses on the procedure for inviting users after the administrator first receives an invitation e-mail from us.

1. Receiving an invitation e-mail~ Authentication
1-1. Receive an invitation mail
An email invitation will be sent from <noreply@matlantis.com> to the administrator of your tenant.
Once received, click on "Go to Matlantis" on the screen.

1-2. Sign-up
When the sign-up screen appears, select the ID provider (Microsoft or Google) that you have applied for.

1.3 Authentication
Enter the account name and password required for authentication on the account selection screen.

2. User Management Screen
2.1 Transition to the "Users"
When you log in to Matlantis, the Dashboard screen will be displayed.
For the first authentication, you will be automatically redirected to the Dashboard screen.
For subsequent logins, please refer to the "Login after the first time" section at the bottom of the page.
You can navigate to the User Management screen by clicking on "Users" on the right side of the screen.
Note: Only admin users can see the "Users" option.

2.2 Overview of the User Management Screen
When you log in to the User Page, a screen similar to the one shown below will be displayed.
On this screen, you can check the following information for each user:
- Name
- Role
- Last login time
- Notebook Specs
- Workspace Size
- Additional options
Additionally, you can view the current number of Notebook Users and Light Users in the top right corner of the screen.
Note: The number of LightPFP users can be checked in the "Detail".
2.3 About Service Role and User Type
For detailed information, please refer to the this article. Below is an overview.
2.3.1 Notebook User / Light User
Matlantis has two types of users: Notebook Users and Light Users. The capabilities of each user type are as follows:

Light Users do not run calculations, but they can view the calculation results stored in the GroupDrive. This user type is intended for administrators and collaborators.
2.3.2 Admin / User
In Matlantis, there are two permission levels: admin and user, which are based on the assigned roles. These permission levels can be set independently of the aforementioned Notebook User and Light User types.
The capabilities of each role are as follows:
The main difference between Admin and User roles is the ability to access the user management screen ("Users" etc.).

2.3.3 Upgrading Notebook Specifications
In Matlantis, you can upgrade the compute environment for Notebook Users.
The specifications for each notebook environment are as follows:
The core functionality of Matlantis's PFP (Potential Field Processing for calculating energies and forces) remains the same across all environments.
Since the majority of Matlantis's computational cost is driven by GPU calculations, the Normal environment is typically sufficient for standard computations. Consider using the x2 or x4 environments for large-scale parallel computations with high memory consumption or for problems involving high demands on CPU resources, such as global optimization tasks.

3. Invitation new users
3.1 Adding Users
3.1.1 Pre-registration Checklist
Before registration, please confirm the following with your system administrator:
- Whether you are using Azure AD.
- If using Azure AD, verify your UPN (User Principal Name). The UPN is different from your email address but follows the same format (e.g., xxxx@yyyy.com).
3.1.2 Transition to User Registration Screen
To invite a new user, click the ⊕ in the upper left corner of the User Management Screen.
The admin authority can register users on the “Users”. To add a user, click ⊕ in the upper left
corner of the screen. The number of users that can be registered may vary depending on the contract.
In this case, user addition is possible as follows:
- Notebook User : 7 more users can be invited, with a total limit of 20 users.
- Light User : 5 more users can be invited, with a total limit of 5 users.

3.1.3-(a) Add Users (1/3) If you do NOT use Azure AD authorization
Enter the Name and Account Email of the user to be registered, and select “Service Role” (admin
or user) and User Type (Notebook User / Light User). To add more users, click ⊕.

3.1.3-(b) If you use Azure AD authorization
Enter the Name and Account Email of the user registering as well as UPN, and select “Service Role” (admin/user) and User Type (Notebook User/Light User). To add more users, click ⊕.

3.1.4 Add Users (2/3)
Click "Next" when all inputs are complete.

3.1.5 Add Users (3/3)
Select either "Send invitation e-mail with registration" or "Register only. You can send e-mail later"
and click "Send.

3.2 Check the Invitation Status
You can check the invitation status in this screen
If the user hasn’t clicked the “Go to Matlantis” link in the invitation email and hasn’t accepted it yet, “Not logged in yet” will be displayed in the Notebook Activity as follows.
When an invited user accepts the invitation, a checkmark (✔︎) will appear next to their name and “login” will be displayed in the Notebook Activity, as shown below.
You can check the invitation status by clicking on the username.
- Accepted : The user has finished the first authentication.
- Sent : The user has not yet been authenticated after receiving the first email invitation.

Note: Obtaining Invitation Links
If you select an invited but not yet accepted user, you can directly obtain the invitation link from the Invitation URL under the Invitation Status in the User Information screen. Use this option if the user is unable to receive the email or if you wish to send the invitation link through an alternative method.

4. User Delete/ User Deactivate
4.1 User Delete
- When performed, this action will delete all data within the disk storage used by the user. Please ensure to back up any necessary data beforehand. Ref.: Tips for Data Migration
- You cannot perform this operation while Matlantis is running.
- Additionally, you cannot delete your own account.
In the User Management screen, click on the user you want to delete.
The following window will open. Click "Delete" in the "Danger Zone" at the bottom.
Next, in the following window, please confirm that the correct user is selected for deletion. If everything is correct, type "DELETE".
After typing "DELETE", click the "Delete" button to proceed with the deletion.

4.2 User Deactivate and Activate
You can temporarily suspend a user's ability to log in to Matlantis. Use this option if you want to temporarily revoke access due to changes in affiliation or other reasons.
Unlike deletion, the user's data will not be removed, and the number of available user slots will not increase. Although access is disabled, the user is still counted as one of the users.
In the User Management screen, click on the user whose access you want to temporarily suspend.
In the newly opened window, click "Deactivate" in the "Danger Zone" at the bottom to immediately suspend the user.
After deactivating, a 🚫 icon will appear as shown below.
To resume access, click on the corresponding username and then click "Activate" in the "Danger Zone" similarly.

5. Changing Notebook Spec. / Service Role
5.1 Switching Between Notebook User and Light User
This section explains how to switch user types.
For details on user types, please refer to 2.3.1 Notebook User / Light User.
5.1.1 Upgrading from Light User to Notebook User

Upon execution, one available Notebook User slot will be consumed and one Light User slot will become available.
- This operation cannot be performed if there are no available Notebook User slots.
In the User Management screen (description), click on the user whose type you want to switch.
Light Users are indicated by a ✔︎ Light next to their name, as shown below.
The following screen will be displayed. Click the "Upgrade" button next to the "Upgrade to Notebook User" section in the "Danger Zone" at the bottom.
After reviewing the following warning message, click "OK" to proceed.
5.1.2 Converting from Notebook User to Light User
- Upon execution, all data within the disk storage used by the user will be deleted. Please ensure to back up any necessary data beforehand. Reference: Tips for Data Migration
- After execution, one available Notebook User slot will be added, and one Light User slot will be consumed.
In the User Management screen, click on the user whose type you want to switch.
The following screen will be displayed. Click "Convert" under the "Convert to Light User" section in the "Danger Zone" at the bottom.
A warning message will appear, stating that all data stored in the user's disk space will be deleted and cannot be recovered. Please ensure that you have backed up any necessary data. Once confirmed, click "OK" to proceed.

5.2 Switching between Admin and User
In the User Management screen, click on the user whose permission level you want to change.
Select the desired role from the dropdown menu and click "Update" at the bottom to change the permission.

5.3 Changing Notebook Specification
Before proceeding, ensure that the user’s Notebook is shut down. Ask the user to stop the Notebook by clicking the "Stop Application" button on the Dashboard.
In the User Management screen, click on the user whose computing environment you want to change.
Select the desired "Notebook Spec" from the dropdown menu to change to the desired performance level.
Please refer to 2.3.3 Computing Environment for details on each performance level.

6. Launcher Matlantis
Click "Start Application" on the Dashboard. When the launcher screen appears, the startup is complete. If you want to register additional users after startup, go to the “Users” from “Dashboard” in the upper right corner, and perform the previous steps.

7. Login for the second time or Later
After the initial authentication, you will not be able to log in by clicking on the email invitation.
Instead, you can log in from the official website <https://matlantis.com/> by clicking on "Login"
in the upper right corner and entering your subdomain.

Note that for users in the US or Europe, your subdomain will be in the format
yoursubdomain.usoryoursubdomain.eu, respectively.
Or, you can add <https://xxx.matlantis.com> to bookmark.

Appendix:About Service Role and User Type
Service Role
- admin : You can add and remove users; the Dashboard > Users will appear.
- user : You can NOT add and remove users; the Dashboard > Users will NOT appear.
User Type
- Notebook User : JupyterNotebook (computing environment) is available.

Light User:Only the Dashboard screen is available. That is you can NOT calculate with Matlantis
- The number of Light Users depends on the number of subscribed users (shown in the Users).
- With admin role, you can switch between admin and user, and between Notebook User and Light User.
- When switching from Notebook User to Light User, Notebook environment including data will be completely deleted.
